Invoices into Holded with AI, without typing a single one.

At the end of the quarter, an accounting firm's clients send their invoices however they come: PDFs, photos of receipts, crooked scans and the odd handwritten bill. An agent reads them, checks that each one adds up and enters it in Holded.

This 59-second film follows Elena, at an accounting firm, with the quarter's invoices from Carmen's bar: from asking the Coordinator in one sentence to having them in Holded, with only two to review.

What it checks before entering an invoice

The agent doesn't just copy what it reads: it checks it. An invoice only reaches Holded if its numbers add up.

  • It extracts the supplier, their tax ID, the number, the date and each VAT rate separately. In hospitality, 4, 10 and 21% on the same invoice is normal.
  • It adds up the base, the VAT and any equivalence surcharge, subtracts the IRPF withholding and compares the result with the printed total.
  • It classifies each invoice: domestic, exempt, EU reverse charge or import. An Italian supplier's invoice with no VAT on it is kept as EU reverse charge.
  • It sets aside anything that isn't an invoice and never enters the same one twice.

If an invoice doesn't add up, it doesn't adjust it: it flags it with the difference, like the bakery's in the film, which is off by €4.20.

How the invoices reach the agent

In the film, Elena drags Carmen's folder onto the Coordinator. Day to day you don't even need that: the agent can check the mailbox your clients write to and process every invoice that arrives, including those inside a ZIP file or a folder.

It reads PDFs, photos and Office documents, in Spanish or another language. A supermarket receipt counts as a purchase invoice too, even without the client's details on it.

Holded, connected with its API key

Holded connects once, by pasting your Holded account's API key. From then on, the agent enters every invoice that adds up and can attach the original document. If your firm works with another program that can be connected, or with a spreadsheet, the setup is the same: only the destination changes.

Frequently asked questions

Does the agent enter invoices that don't add up?

No. If the base, VAT and withholdings don't match the printed total, it flags the invoice for review with the difference and leaves it out of Holded. In the film, of 112 files, 110 land in Holded and 2 are left to review.

What documents can it read?

PDFs, photos of receipts, scans and Office documents, in other languages too. A handwritten invoice or one scanned sideways gets read as well, and anything that isn't an invoice is set aside.

How does Holded connect?

With your Holded account's API key: you paste it once when connecting, and the agent can start entering invoices. The key is managed and changed in Holded.

Does it work for all of the firm's clients?

Yes. The agent works client by client and quarter by quarter, and the app shows where each one stands: what's in Holded, what's missing and why. In one tap, the agent writes to the client asking for what's missing.

How much does it cost?

Building it is free, and you pay for the work the agents do, so the cost follows how many invoices get read. Plans start at €30 a month, with unlimited seats.
