Win back clients on WhatsApp, booked straight into your calendar.

0:58AI-generated voice

Often, a client who stops coming just needs someone to get in touch. An agent texts your past clients on WhatsApp with an offer, answers whoever replies and books them into your calendar.

This 58-second film follows Nerea, who runs a hair salon with 800 clients in a spreadsheet, and Marta, who hadn't been in for seven months: from asking the Coordinator to Marta booked in for Thursday.

How it texts without feeling like spam

The first message to someone who hasn't written to you in the last 24 hours has to be a template approved by Meta. The agent uses one with this week's offer, a line saying an AI assistant is writing, and two quick replies to answer in one tap.

  • It texts as many clients a day as you decide; 25 per number by default.
  • It leaves the gap you choose between two messages to the same person, and never sends anyone the same thing twice.
  • With a new WhatsApp number it starts with a few messages and ramps up slowly, so Meta doesn't block the account.
  • Anyone who says no, or asks not to be contacted, never gets another message.

From a yes to a booking

When someone replies, the agent carries on in the same chat: it offers free slots from your Google Calendar, creates the booking and records it in the database. If someone shows interest and then goes quiet, it follows up once two days later and leaves it there.

The app the Coordinator builds shows you who came back, when, and how much you made.

What you need to start

Your client list, in a spreadsheet or exported from your software, a WhatsApp Business number and your calendar. The Coordinator loads the list into a database and asks what matters: how many messages a day, which offer, and how bookings work at your business.

Frequently asked questions

How does the agent write the first message?

With a WhatsApp template approved by Meta, which is what WhatsApp requires to message someone first. In the EU it carries a line saying an AI assistant is writing. Once the client replies, the conversation carries on as normal.

How many messages does it send a day?

As many as you approve. By default, 25 conversations a day per number; in the film, on weekdays at ten. A new number starts with fewer and ramps up slowly.

What if a client doesn't want to be contacted?

It records that and never writes to them again. It doesn't push either: between two messages to the same person, it leaves the gap you choose.

What if I don't use Google Calendar?

A booking can be a booking link, a phone call or a visit: tell the Coordinator how bookings work at your business and the agent does it that way. In the film, bookings go into Google Calendar.
