Partner getting started guide

Earn recurring revenue by implementing AI agents.

Build solutions for your clients, manage how they run and decide what to charge for your work.

01 / The platform

What is Vibetasking

Vibetasking is a platform for consultants and agencies that implement automations and AI agents for their clients. Describe what you need to the Coordinator and it will do it all for you: it builds the solution, connects it to your client’s tools and helps you get it up and running.

You can charge for implementation and management, and set the margin you earn every time a client uses one of your agents.

What you can build

Chatbots connected to the business
Handle conversations on WhatsApp, email, Telegram, Instagram, LinkedIn and other available channels. They can respond using information you provide, look up a CRM or database, and take actions in connected tools.
Voice agents
Set up agents that answer or make calls, look up information during the conversation and transfer the call to a person when needed.
Work with documents and tools
Process emails, PDFs, spreadsheets and other files. Connect your client’s systems to look up, record or update information. When the process requires it, agents can also browse websites and use code.
Websites and applications
Build pages, portals and applications with their own interface, connected to data, agents and automations.
Systems that bring several pieces together
Bring conversations, documents, tools and applications into a single process. For example, a client of an employment advisory firm requests a new employee registration over WhatsApp. The system looks up the company’s details and usual employment terms, prepares the contract and submits the registration on Spain’s Social Security website.

Everything ready for your agents to get to work

Running in the cloud
Agents run on Vibetasking’s infrastructure. You can trigger them through messages, schedules or events, without having to keep an eye on them or leave your computer on.
Organized clients and access
Use workspaces and permissions to manage who can access each client’s agents, resources and connections.
Visibility and control
Review conversations, runs, results and usage. Configure automatic evaluations, spending limits and human approvals to check the work and decide what each agent can do.
European infrastructure and data protection
Vibetasking’s main infrastructure is hosted in Europe. The platform includes data protection measures, access controls and AI oversight from the outset, helping you implement solutions for your clients securely and responsibly.

The resources each solution needs

Connect resources your client already uses or set up new ones from the platform according to the project’s needs.

Phone and email
Phone numbers and email inboxes for your agents.
WhatsApp Business
Connect and manage the channel, with a coexistence option so your client can keep using WhatsApp on their phone.
Databases
Store and share the information your agents and applications use.
AI models
Choose from available models by leading providers such as OpenAI, Anthropic, Google and xAI, or open-source models, according to each agent’s needs.

02 / Build with the Coordinator

How it works

Vibetasking has a main chat with the Coordinator, the agent that controls the platform. From that conversation, you can build and launch your solutions.

  1. 1. Tell it what you want to achieve.

Explain the process, which tools your client uses and what the result should be. If you’re unsure how to approach it, you can discuss it with the Coordinator.

  2. 2. Let it build and ask for changes.

The Coordinator uses the different elements of the platform to create the solution. Tell it what you like, what you don’t and what you would do differently: you don’t need to figure everything out in the first message.

  3. 3. Ask it to test and refine.

It can run tests, review the results and make adjustments with you until the automation works the way you need it to.

Give it time to work.

Sometimes it needs to research or complete several steps and may take a few minutes to respond.

06 / Ideas for your clients

Examples and use cases

Think about the clients you already work with: the tasks they repeat, the information they need and the tools where they do the work. Here are examples of solutions you can build and adapt to their business.

Open each example to see how it works. You can combine several in one solution and define which actions run automatically and which need review.

Operations and field work

Job reports from a voice message and a photo on WhatsApp

Repairs, maintenance, installation services and companies working for insurers.

After a visit, the technician sends a WhatsApp voice message explaining what they did, along with photos of the work. The agent identifies the job, extracts tasks, materials and time spent, and asks for any missing details. It then creates the report and saves the information and images in the company’s CRM.

Result: Every visit is documented and available for follow-up and invoicing, without transcribing notes or chasing paperwork.

From a client’s message to registering a new employee

Employment advisers and firms that regularly handle employee registrations.

A client asks over WhatsApp to register a new employee. The agent looks up the company’s details and usual employment terms, gathers missing information and prepares the contract. Using the access and review process defined by the advisory firm, it submits the registration on Spain’s Social Security website and saves the confirmation in the file.

Result: The request, documents and registration are connected in one process, with professional review where appropriate.

A technical assistant with the company’s manuals

Factories, technical services and maintenance teams.

An operator sends a question or a photo of a machine over WhatsApp. The agent consults the manuals, finds the relevant model and section, and replies with documented instructions and reference pages or images. If information is missing, it asks for more context or passes the question to the person in charge.

Result: The team finds technical information in seconds from their workstation, without searching through lengthy manuals.

Phone reception and appointment management

Repair shops, schools, service centres and businesses receiving many calls.

A voice agent answers the call, talks with the caller, answers their questions and reads or writes information in the company’s systems. It can book or change an appointment, record the reason for the call in the CRM and transfer the call to someone on the team when needed.

Result: Calls lead to an appointment or a recorded request, with context for whoever needs to continue helping the caller.

Purchasing: from low stock to a supplier comparison

Distributors, retailers and businesses with recurring purchases.

The agent checks inventory and identifies items below the agreed minimum. It checks suppliers, requests quotes and brings prices, lead times and terms together in a comparison. It uses that information to prepare an order proposal for the purchasing team to review.

Result: The team receives a concrete replenishment proposal and the information needed to decide.

A portal for requests, documents and status updates

Professional firms, agencies and service businesses with their own processes.

Build a website where each client can submit a request, upload documents and check its status. Agents review what comes in, ask for anything missing and update internal systems. The team has an interface for reviewing results and resolving pending requests.

Result: An application tailored to the business process, connected to agents, data and each user’s access permissions.

Sales and customer service

Prospecting and sales conversations on LinkedIn

Consultancies, agencies and B2B service companies.

Define the companies and profiles you’re interested in. The agent researches potential clients, personalizes outreach and continues conversations when they reply: it asks about their needs, answers questions and shares relevant materials. When it detects interest, it records the opportunity in the CRM and passes it to a salesperson or suggests a meeting, following the contact rules you’ve configured.

Result: Opportunities with a prior conversation and context so the salesperson can pick up where it left off.

From a campaign lead to an appointment on WhatsApp

Marketing agencies and businesses collecting enquiries from ads or forms.

When someone requests information and chooses to continue on WhatsApp, the agent replies, gathers their needs and answers questions about the service. It checks the calendar, suggests a time and records the details and conversation in the CRM for the sales team.

Result: Enquiries receive follow-up and reach the team with useful information and an appointment when appropriate.

Customer service that checks orders and resolves issues

Ecommerce businesses, distributors and companies with repetitive after-sales enquiries.

A customer writes by email, WhatsApp or Instagram to ask about an order or send a photo of a problem. The agent checks the order, shipment and history, applies company policy and takes authorized actions: updating details, handling a return or requesting a replacement shipment. Cases that need a team decision are passed on with the context already gathered.

Result: Enquiries resolved using business information, with changes recorded in its tools.

Quotes from a customer’s message

Distributors, manufacturers, installers and service companies.

A customer requests a price by email or WhatsApp, providing product references, quantities or a description of what they need. The agent checks the catalogue, stock, prices and discounts, asks for clarification and prepares the quote in the ERP. It can send it after review and prepare the order when the customer accepts.

Result: A quote with the customer’s terms, without copying line items between messages, spreadsheets and the ERP.

Customer reactivation and follow-up on WhatsApp

Service centres and businesses with repeat customers or pending quotes.

The agent checks the customer base and selects contacts due for follow-up according to the business’s contact rules and permissions. It starts the conversation, answers questions and helps book another appointment or resume a proposal. It records the outcome and stops following up when the person doesn’t want to continue.

Result: Consistent follow-up with existing customers, with bookings and opportunities recorded.

Administration and invoicing

From a supplier email or portal to a recorded invoice

Accounting firms and companies receiving invoices from many suppliers.

The agent collects invoices from email, a folder or supplier portals, extracts their details and checks whether they’re already recorded. It compares amounts and quantities with orders and delivery notes when available, records invoices that meet the rules in the accounting software and leaves discrepancies for review.

Result: Invoices organized and recorded, with issues set aside for the administration team to resolve.

Reviewing shipping rates and transport invoices

Ecommerce businesses, logistics operators and companies with many shipments.

The agent matches the carrier’s invoice lines against shipments and the agreed rate. It checks weights, destinations, surcharges and duplicates, and prepares a list of differences with supporting documents for review and claims.

Result: A list of charges to review, without manually checking every shipment.

Collecting documents and requesting missing invoices

Advisory firms and administrative departments that chase documents every month.

The agent checks which documents are missing to close a file or period: for example, deliveries without invoices or outstanding client documents. It sends the appropriate request, processes replies and saves files in the relevant folder or case file. It keeps an up-to-date list of what’s still missing.

Result: Each file has its documents together, and the team knows what is missing and who has been asked for it.

Following up on unpaid invoices

Service companies, distributors and businesses with recurring invoicing.

Every day, the agent checks which invoices are still overdue, verifies their status and sends the appropriate reminder with the necessary documents. It answers questions, records payment commitments and alerts the person responsible if there’s a discrepancy or the agreed deadline passes.

Result: Up-to-date payment follow-up, with conversations and commitments recorded.

Recording expenses from a receipt photo

Sales teams, technicians and companies with staff working away from the office.

The employee sends a receipt photo over WhatsApp and explains what it’s for. The agent extracts the date, supplier and amount, asks for the project or reason if missing and checks the expense rules. It saves the receipt and creates the entry in the system for review or accounting, or posts it directly.

Result: Expenses documented and linked to the person or project, without accumulating receipts until the end of the month.

Information, monitoring and marketing

A business summary with issues that need attention

Management and sales, finance or operations leaders.

Every morning, the agent checks the agreed systems and brings together sales, pending orders, issues and payments. It compares the data against business criteria and prepares a summary with links to records worth reviewing. The person responsible can ask for more detail in the same conversation.

Result: A regular report based on business data, with specific outstanding items for the team.

Monitoring portals for funding calls and opportunities

Consultancies, associations and companies tracking grants or tenders.

The agent reviews the portals and bulletins you specify and detects new calls. It compares business activity, location and other criteria with the company profile, summarizes requirements and deadlines, and prepares a document checklist so the team can assess the opportunity.

Result: Relevant opportunities with their source, deadline and required documents brought together.

Monitoring competitors and distributor listings

Brands, manufacturers, ecommerce businesses and agencies managing their channels.

The agent regularly checks selected websites, compares prices, availability, descriptions and images, and detects changes since the previous review. It sends a summary of competitor updates or errors in your product listings, with links and supporting evidence.

Result: Relevant changes identified without manually checking the same websites every week.

From a video or client case to content for several channels

Marketing agencies, consultancies and content teams.

Starting from a video, an interview or a documented case, the agent extracts ideas and prepares an article, LinkedIn posts and a newsletter in the brand’s style. It saves drafts in the editorial tool and can prepare them in the CMS for approval and publication.

Result: One piece of content turned into several deliverables within the team’s editorial process.

To get started, choose a process one of your clients already performs regularly, even if it isn’t related to any of these examples. Describe the process in detail to the Coordinator, and it will build it with you step by step.

08 / From your first solution to the next

Tips for your first implementations

Start with a specific solution, demonstrate its value and apply what you learn to your next clients.

  1. 1. Start with a specific, recurring process

Look for a task the client already performs regularly: answering questions, preparing quotes, recording job reports or reviewing invoices. It’s important that the client can describe it clearly: which tools they use, the exact process, its exceptions, the expected result, and so on.

Ideally, choose processes with a high volume of work. Any process can be worth automating if you’re paid for the implementation, but high-volume tasks are usually much better: one person doing that process all day, or ideally several people. This makes it easier to demonstrate the impact and cost reduction.

It can also be more profitable for you: a high-volume process will consume many more tokens each month, potentially allowing you to earn hundreds or thousands of euros a month from a single process.

  2. 2. Sell the outcome for the business

“Your technicians send a voice message and the job report is saved in the CRM” is easier to understand than “I’ll implement an AI agent for you.” Show the before and after using the client’s own example, and explain what work it saves, what improves and what their team can continue to oversee.

  3. 3. Combine implementation, management and a usage margin

You can charge for the initial work, management and maintenance, and set the margin you earn when the client uses your agents. If the process has low volume, make sure the implementation fee covers your work: recurring usage revenue may be small even when the solution delivers value.

  4. 4. Discuss savings and establish the cost with a trial

Clients often want to know the exact cost before starting. To estimate it properly, you need to test the task: usage varies with the documents, tools, model and steps the agent needs to complete.

In our experience, almost all the automations we’ve seen cost less per task than doing the same work manually. For the most expensive ones, the difference may be small; for many others, the cost is 10 or even 100 times lower. Use that experience as a starting point and verify the savings for your client’s specific process.

Run several representative tests and calculate the cost for the expected volume, including your margin, any required services and the human review that remains. Present implementation and management costs separately. If it fits your commercial proposal, you can offer not to charge for implementation if the trial doesn’t demonstrate the agreed savings, defining in advance what you’ll compare.

Continuous advances in AI models also tend to make tasks even cheaper over time. Review the solutions you already have running to take advantage of those improvements and update their costs.

How to explain it to your client

“We’ll see the exact cost when we test your process. In our experience, automation usually costs less than doing the work manually, and in many cases the difference is substantial. Let’s run a trial with real tasks and show you the cost and savings before putting it into operation.”
  5. 5. Test with real cases before going live

Check the usual workflow as well as exceptions: incomplete information, different documents or a question that needs a person. Review the results with your client and agree on what the agent can do independently and when their team should step in.

  6. 6. Reuse what you’ve learned with other clients

Once a solution works, keep the instructions, tests and implementation process. Vibetasking lets you duplicate agents you’ve built for one client and move them to another workspace to adapt them for a new project.

Configure the new client’s connections, data and rules, review access and test the solution again. This lets you offer the same type of service to businesses with similar needs, building on work you’ve already done.

Frequently asked questions

Answers to common questions to help you start working with your clients.

Do I need to know how to code to implement automations?

You can start by describing the process to the Coordinator, without writing code. What matters is understanding what your client needs, how they work and what outcome they expect. The Coordinator helps you build the solution, connect their tools and test it. If a project needs a more complex setup, our team will support you.

Can I try Vibetasking before I have a client?

Yes. Creating your account is free and you receive €10 in trial credits. You can start with a task from your own business or prepare a demonstration. You don’t need to wait for us to activate your partner profile to use the platform.

Do I need a separate account to become a partner?

No. First create your regular Vibetasking account, then apply to become a partner using the same email. When we activate your profile, we’ll notify you by email. You’ll be able to access the Partner dashboard from your profile in the bottom-left corner of the app.

Can I work with a client who already has a Vibetasking account?

Yes. You can link an existing account or create one for a new client. Linking yourself as a partner and accessing the workspace are two separate things: as well as linking the client, you need to be a member of their workspace with the right permissions to build and manage their automations.

Who decides how much I charge the client?

You set the price for your implementation and any management or maintenance you offer. You can also set the margin you earn each time the client uses one of your agents. Combine these options according to the work the project requires and its usage volume.

Does my client pay for usage, or do I?

You can use the client’s payment method so they pay for platform usage, or use your own payment method and invoice them afterwards. Agree on how you’ll handle usage, your fees and maintenance so they know what your service includes.

Can I know what an automation will cost before building it?

A reliable estimate requires representative tests of the process. Cost depends on the models, tools, documents and steps the agent needs to complete. Testing lets you estimate usage for the expected volume, add your margin and compare the cost with manual work before going live.

What if my client’s tool doesn’t have an integration?

We can explore other ways to connect it. Agents can also work with APIs and browse websites to look up information, complete forms or download documents. The right option depends on the tool and the available access. Discuss it with the Coordinator and it will help you find the best solution. And if you need help, don’t hesitate to ask us directly.

Can my client review the work or step in when needed?

Yes. You can define which actions the agent performs automatically and which require approval. The team can review conversations and results and step in when necessary. Before activating the automation, agree with your client on which situations should go to a person.

Do I need to leave my computer on?

Agents run on Vibetasking’s infrastructure and can work through messages, schedules or events. For automations that use cloud tools and resources, you don’t need to leave your computer on.

Can I reuse an automation with other clients?

Yes. You can duplicate agents you’ve built and move them to another workspace. Then adapt the new client’s connections, data, permissions and rules, and test the process before activating it. This lets you build on what you’ve already created to offer similar solutions to more businesses.

What if I get stuck on a client project?

Tell us about your objective, the tools involved and where you need help in the partner community. Our team will help you plan the solution, resolve blockers and test it. You can rely on us while you learn and deliver your first implementations.

Still have a question? Share it in the community and we’ll work through it with you.
